This position provides a full range of executive and business development assistance and administrative functions, reporting to the Executive Vice President and supporting the marketing team. This is a part-time position of approximately 15 hours per week, located in our Lawrence, KS office.
Duties and responsibilities
Manage executive calendars
Manage company vacation calendar
Manage company employee vacation and sick day calendar to include emailing all full-time staff once a month informing them of their vacation and sick day balance
Reconcile expense reports and submit to bookkeeper
Support travel needs of the Executive VP and his team to include: make reservations (flight, hotel, car as needed), coordinate with internal/external individuals and groups. Create itineraries and send to those involved for easy access when traveling.
Prepare and finalize written materials including: letters, minutes, presentations, and reports requiring special formats. Produce charts and other presentation materials. Review, proofread, and edit materials to ensure they are grammatically correct, factual, and in approved format.
Schedule internal and external meetings, create reservations of conference space, provide notification to attendees, making catering preparations, and coordinating all arrangements from set-up to completion.
Plan, organize and implement short-term projects. Prioritize work and independently seek out relevant information. Coordinate with necessary staff to verify project timelines and schedules.
Compile and provide data for reports and other business development projects.
Conduct research for presentations, potential vendors, HR questions and other projects as defined by the Executive VP.
Collect mail biweekly from local post office.
Attend and support project and team meetings.
Office facility management by overseeing service providers and vendors.
Previous experience required
Good understanding of office management and marketing principles
Organized, meets deadlines, able to multi-task; carefully proofs own work.
Strong attention to detail. Self-motivated with respect for deadlines/cost management
Skilled at MS Office (Word, Excel, PowerPoint, Outlook)
Excellent oral and written communication and people skills
Strong computer, internet and technology skills
High School diploma; BS in Marketing, Business or relevant field is a strong advantage
